Registration of New Users

Overview

Every user needs to register before they can access the system. Not all users can register new users. Registration helps to keep the system secure. It is important that the system stay secure. Some people can be registered just to allow them to view data, others are able to report disease, some are only able to report for special activities such as movement permits or slaughterhouse figures.

New users can be registered by

  • The local iSIKHNAS coordinator through the iSIKHNAS website or a spreadsheet uploaded to the system.
  • An experienced iSIKHNAS user who is authorised to register other users in their area.

The registration process

  • makes sure that only authorised registrations occur
  • collects important basic data about new users
  • automatically collects the telephone number of a new user

Every user must be registered.

Every user is registered to their mobile telephone number. The system recognises users from their telephone number. The connection between an iSIKHNAS user and their mobile phone number is important. If a user has to change their number for any reason the system will not 'recognise' them until their new number is registered with the system.

During registration important basic data about the user is captured.

Each telephone number links the system to data about a user’s

  • Name
  • Place of work
  • Type of work
  • Email address (optional)

Later, the local iSIKHNAS coordinator will be able to change these details and include information about the user's area of responsibility.

The iSIKHNAS system tries to adapt itself to each user so that the system is as easy to use as possible and that the data collected by the system is as accurate as possible. For example:

  • Each user is given a User Type which helps the system adapt to each user's needs.
  • Individual permissions are also set by the coordinator to allow each user to perform specific functions according to his or her responsibilities.
  • The location to which you are registered helps to refine the data each user sees so that the most useful and relevant data is shown first.
  • The system is able to send 'tailor made' reports to users with only the data which interests them.

Ways to register

There are three ways a new user can be registered

  1. By SMS using your telephone, if you are authorised.
  2. Via the iSIKHNAS website, if you are an iSIKHNAS coordinator or system administrator.
  3. Via a spreadsheet, if you have permission.

Existing user

  • Send user details by SMS to iSIKHNAS using the D SMS.
  • Receive a PIN code
  • Give the PIN code to the new user

New User

  • Send an SMS to iSIKHNAS - D with PIN to confirm registration
  • Receive confirmation and web password
  • Keep web password safe and change online.

Step 1

If you are registering a new user you will need

  • your mobile phone
  • the new user
  • the full name of the person,
  • the location code of their workplace,
  • user type code,
  • and email address if they have one.

Step 2

Ask all new users to

  • add a New Contact to the address book on their mobile phone.
  • save the New Contact as “iSIKHNAS” with the telephone number

Step 3

Type a registration message on your phone using the correct format and codes.

  • The registration of a new user always starts with D.
  • Full name of the new user including correct capitals and a space between each part of the name.
  • Location code of the usual workplace of the new user to the desa level.
  • User Type code from the User Type code list.
  • Optional: Email address if available.

The web password will be useful if you want to visit the iSIKHNAS website to

  • Look up data on the site.
  • Change your password.
  • Change some of your details.

The local iSIKHNAS coordinator can help users to make any more significant changes via the iSIKHNAS website. The coordinator will also set users’ area of responsibility via the website.

How to choose a good password?

Code Lists

User Type codes

Each user is given a User Type code when they register. This code tells the system about the type of work, data interests and other aspects for that user.

The system uses the User Type code to help it provide better service to every different user and tailor what information is most readily available. For example: Only the relevant automatic reports will be sent out and the website will be set up to be more suited to each user type so that it is easier to use.

This can be changed later by the local iSIKHNAS coordinator if necessary.

Help for users

There are different ways to learn about how to use the system and get help or support for problems or questions. The FAQ or Help section on the website is the best place to look first. The information on the website or that sent by the system through your mobile phone is the most up-to-date.

Caution: Printed material relating to the iSIKHNAS system such as code lists or even information about message formats could be out of date. The latest, most accurate information about the system will always be through the iSIKHNAS website or from iSIKHNAS information sent to your phone.

Training

Every new user should receive training on the system and how it operates. The training might be quite short and simple if, for example, the user is only able to view data, or if he or she is only involved in a special activity such as slaughterhouse reports or only in vaccination activities. For certain key users, such as dinas veterinary services staff, the training will be ongoing, involve several modules and will involve multiple message types, code lists and various operational issues which will affect the routine workflow.

In order to complement the iSIKHNAS system several other training courses will be developed to assist staff in other aspects of their work.

Staff will be offered training in

  • Field Epidemiology
  • Surveillance
  • Budget Advocacy
  • Epidemiological Data Analysis
  • GIS for Animal Health

Staff should visit the iSIKHNAS website for updates on when and how these courses will be available. The course material will eventually be available to anyone interested in improving their skills in these areas. Soon staff will be able to access additional resources and helpful tools to enhance their learning experience.

Other sources of help

Quick reference sheets or cards can be a very useful tool to keep handy at all times, especially for Pelsa or infrequent users however the very best way to look up codes or message formats is via an SMS query.

iSIKHNAS automatically checks every message

  • If it is correct,

iSIKHNAS sends a response to the user and starts to manage, organise and analyse the information and make it available in the system. When disease related reports are received by the system, automatic alerts are sent to other relevant staff to ensure everyone is kept up to date.

  • If a message is sent to the system which is NOT correct,

iSIKHNAS warns the user and advises the user how to correct the mistake and send again.

After sending a report to the system, iSIKHNAS will respond by including the details of the report. It is important that users READ the reply from iSIKHNAS to check that the data they sent is correct and has been correctly interpreted.

Users who see that they have reported incorrect data may delete the last message by using the H function message. See the Administrative Functions section for more information.

The system works hard to ensure that all the data in iSIKHNAS will be clean and correct. The reply messages sent by the system are extremely useful because they provide advice on how to correct a mistake, or 'transcribe' your codes into real language so that you can check if what you sent is correct. Staff should carefully read the system replies to their telephones to read this advice (and resend the message correctly), or make sure that the information they have sent is correct.
